Why an airbnb printable checklist template beats an app
The hosts we know running tight turnovers all hand their cleaners paper. The reason is simple: a wall-mounted A4 sheet with tick boxes gets followed. An app on the cleaner’s phone gets opened once and abandoned by week two.
That asymmetry shows up in turnover quality faster than any other process change a host can make. The template is the operational floor.
The four versions

1. Turnover checklist (for the cleaner)
Room-by-room, top to bottom. Beds stripped, bathrooms wiped, kitchen surfaces, floors, trash, restock. Tick box per line. Mount it on the inside of the cleaning supplies cupboard so the cleaner sees it when they grab the supplies.
Twenty-five to thirty-five line items is the right length. Fewer and you miss things; more and the cleaner stops ticking and starts ignoring.
2. Restock checklist (for supplies)
Toilet paper, hand soap, shampoo, coffee pods, dishwasher tabs, paper towels, dish soap, sponges. Quantity per stay. The cleaner ticks each one as they restock; the host orders bulk when the ticks slow down.
Pair this with a “low stock” line at the bottom where the cleaner writes anything close to running out. That single line saves more guest messages than any other host process.
3. Owner inspection checklist (for spot checks)
The host uses this once a month or after a tough guest. Different list from the cleaner’s: items the cleaner won’t catch. Wear and tear, mattress condition, photos in frames straight, blinds working, lightbulbs all on, smoke alarm test, no leaks under sinks.
4. Seasonal deep-clean checklist
Twice a year, ideally before peak season. Items the turnover skips: oven, behind the fridge, under furniture, baseboards, light fixtures, window tracks, mattress flip, deep grout. This is where you spend the extra cleaner hours that the regular turnover doesn’t cover.
A printable checklist works because it lives where the work happens. Move it from the wall to the phone and adoption collapses.
Format
How to format the checklist (what we’ve learned)
- One A4 page. If it spills onto a second page, the second page gets ignored. Edit down.
- Tick boxes, not bullets. The act of ticking is a behaviour change. Bullets read as suggestions; tick boxes read as instructions.
- Group by room. Cleaners move room to room. The list should match that movement order. Top-floor to ground-floor, generally.
- Photo where words fail. “Pillows arranged as shown” with a photo beats five sentences trying to describe the arrangement.
- Date and initials at the bottom. A line for the cleaner to sign and date. Trivial accountability; outsize effect.

Canva is what most hosts settle into because the templates are searchable and the print quality is reliable. Google Docs works if visual polish doesn’t matter and the cleaner is fine reading 11pt body text.
