How OneNote synchronisation actually works
OneNote synchronisation runs on a section-level model. Each section in a notebook is stored as a separate .one file on OneDrive, and OneNote syncs the sections that have changed rather than re-uploading the whole notebook. This is why a 50-section notebook with one edited page syncs in seconds, while a one-section notebook with the same edit can take the same time: the unit of work is the section, not the page.
The sync trigger is twofold. OneNote runs an automatic sync on a rolling schedule (roughly every 30 seconds while the app is open, longer when the notebook is idle), and on manual demand when you click Sync All or right-click a notebook and choose Sync. On mobile, the sync runs whenever the app comes to the foreground and the device has internet. Sync does not run when the app is closed; pages saved while offline queue locally and push when the app reopens.

Three operations happen during a sync cycle. First, OneNote compares the local section’s timestamp with the OneDrive version and identifies which is newer. Second, if the local is newer, OneNote uploads the diff (not the whole section, just the changed pages). Third, if the OneDrive version is newer (someone edited on another device), OneNote downloads those changes and merges them into the local cache.
The merge step is where conflicts surface. If you edited the same page on two devices since the last sync, OneNote keeps both versions and shows a yellow conflict bar above the page. The conflicting version becomes a separate page in the section, named with a conflict suffix. You resolve manually by copying the content you want into the main page and deleting the conflict version. Conflicts are rare for solo users and common for shared notebooks; the section-level sync model means a conflict on one section does not block other sections from syncing normally.

The status icons are visible at section level (the small icon next to the section name in the navigation pane) and at notebook level (the icon next to the notebook name). When the notebook-level icon shows green but a section icon shows another state, the issue is contained to that section and the rest of the notebook is healthy.

Template notebooks (the kind we ship for project management, planning, and habit tracking) sync the same way as any other OneNote notebook, with two patterns worth knowing. First, the initial import sync is slow because the template notebook arrives with all sections populated; OneNote uploads them all to your OneDrive on first sync. Plan on 30-60 seconds for a typical template depending on bandwidth. After the first sync, only the pages you actually edit re-upload, and the sync runs in the background.
Second, template users who run the template on more than one device (desktop + phone, work + home) want to confirm that the OneDrive account on both devices is the same one. The sign in OneNote account-graph rules apply: a template that lives in your personal-account OneDrive cannot sync to a OneNote session signed in with your work account.
